Approvals and User Permissions

If a user does not have high-enough permission limits, their manually created POs will enter a Pending Approval state.

Setting Approval Limits

Permissions are managed under Settings > Users > Purchase Order tab of a User’s Profile.

  • Can Approve: If unchecked, the user can never approve a PO; all their manual POs go to the pending queue.
  • £ Limits by Type: You must set a maximum value for each Purchase Order Type.

    Note: If a limit is left blank, it defaults to 0, meaning the user cannot approve any value for that type.

Note: These permissions only apply to manually creating PO’s; there are no restrictions on generating subcontractor PO’s.

The Approval Process

Approvers can access the queue via the sidebar or the Pending Approvals button on the PO header bar.

  1. Review: Click the PO number to check details or make edits.
  2. Accept: Changes the status to New. The purchase order can now be invoiced once completed.
  3. Reject: Requires a reason. The status changes to Cancelled, and the PO moves to the Cancelled tab.
