Purchase Order Approvals
Approvals and User Permissions
If a user does not have high-enough permission limits, their manually created POs will enter a Pending Approval state.
Setting Approval Limits
Permissions are managed under Settings > Users > Purchase Order tab of a User’s Profile.

- Can Approve: If unchecked, the user can never approve a PO; all their manual POs go to the pending queue.
-
£ Limits by Type: You must set a maximum value for each Purchase Order Type.
Note: If a limit is left blank, it defaults to 0, meaning the user cannot approve any value for that type.
Note: These permissions only apply to manually creating PO’s; there are no restrictions on generating subcontractor PO’s.
The Approval Process
Approvers can access the queue via the sidebar or the Pending Approvals button on the PO header bar.

- Review: Click the PO number to check details or make edits.
- Accept: Changes the status to New. The purchase order can now be invoiced once completed.
- Reject: Requires a reason. The status changes to Cancelled, and the PO moves to the Cancelled tab.
