Managing Warehouse App Users
Warehouse app users are the people who log into the mobile warehouse app to receive stock, pick orders, and manage inventory on the warehouse floor. Each user has a unique code and a PIN they use to sign in.
Viewing Your Users
- Go to Settings → Warehouse App Users under Stores Settings.
- You'll see a list of all warehouse app users, showing their code, name, and PIN.
- Use the filter tabs to switch between Active and Archived users.
Creating a New User
- Click the New User button.
- Fill in the following fields:
- Code (required) — A short identifier for the user, using letters, numbers, and underscores only, e.g. "JOHN_S" or "WH01".
- Name (required) — The user's full name.
- Click Save.
A unique 6-digit PIN is automatically generated for the user. This PIN is what they'll use to log into the warehouse mobile app — no email or password is needed.
Viewing a User's PIN
The PIN is displayed in the user list and on the user's edit screen. Share this PIN with the user so they can log into the mobile app.
Regenerating a PIN
If a user has forgotten their PIN or you need to issue a new one for security reasons:
- Open the user from the list.
- Click the three-dot menu (⋮) and select Regenerate PIN.
- Confirm the action. A new unique PIN will be generated immediately.
The old PIN will stop working straight away. Make sure to share the new PIN with the user.
Editing a User
- Click on a user in the list to open them.
- Update the code or name as needed and click Save.
Archiving a User
When someone no longer needs access to the warehouse app:
- Open the user.
- Click the three-dot menu (⋮) and select Archive.
- Confirm the action.
Archiving a user immediately expires all their active sessions, so they will be logged out of the mobile app. Archived users cannot log in again until they are restored.
To restore a user, open them from the Archived tab and save — they'll be moved back to active status.
Tips
- Keep user codes short and easy to identify — they appear throughout the system alongside actions the user has taken.
- If a user leaves or changes role, archive them promptly to revoke their mobile app access.
- PINs are unique across your company, so no two users will ever have the same PIN.
