Back to Base - Cost the Journey Home
A load can look profitable until you remember the vehicle finishes its day 200 miles from the yard. You can now include the journey home in a load's costs, so the profit you see is the real one.
- Give each depot a home - choose a home location for each depot under Settings → Depots. If a driver parks up somewhere different, set a home location on their profile and that takes priority for their loads.
- One switch on the load - turn on Back to base and the return journey from the final drop is folded into the load's mileage, driving time and costs. In the redesigned load view the switch is the last row of the route, showing where home is and the extra miles; in the classic view it sits next to the Night shift switch.
- Estimates while in progress, actuals afterwards - the return leg is an estimate while the day is still running. When the driver ends their shift, the actual recorded mileage replaces it automatically.
Set your depot home locations once and the switch is ready on every load from then on.
A New Timeline View for the Traffic Sheet
The Traffic Sheet now has a Timeline view - a visual picture of your whole day, with every load on its own row and each job drawn as a block across the hours of the day.
- See the day at a glance - each block is sized by how long the job should take (loading, driving and unloading), so you can see who's busy, who's got room and where the gaps are.
- Updates in real time - a red line marks the time right now, and blocks update as drivers arrive, load and deliver. If a driver is running behind, the rest of their day shifts along with them.
- Hover for the full story - point at any job to see where it's collecting from and delivering to, booked times, actual times and ETAs, all on one card.
- Night runs included - the timeline runs past midnight into the next morning, so late shifts are shown in full rather than being cut off.
To try it, open the Traffic Sheet and click the timeline button in the top left. We'll remember which view you prefer and open it for you next time, and you can switch back to the classic view at any point with one click.
A Brand New Messenger
We've rebuilt the messenger from the ground up, and it has now fully replaced the old one.
- Messages arrive instantly - there's no need to refresh the page. When a driver sends you something it pops up straight away, and the same goes for them when you reply.
- A badge that keeps count - a number shows how many unread messages are waiting for your office, updating the moment a new message comes in.
- Send and receive photos - drivers can snap a picture and send it straight to you, and you can send pictures back.
- Share PDFs too - attach a PDF to a message and it goes through just like a photo.
- Message several drivers at once - pick a group of drivers and send the same message to all of them in one go.
Preview: A Redesigned Load View
There is a new version of the load screen available as an optional preview. The information on it is the same as the current screen; the layout has changed:
- Stops are connected by a vertical timeline. The marker next to each stop shows its status (draft, confirmed, in progress or complete), and a progress bar at the top of the list shows how much of the load is done.
- Status labels have moved from the left of each stop to the right, and the Rollback, Delete and Complete links on instructions appear when you hover over the row.
- Driver, vehicle and trailer are shown in a panel above the stops, with vehicle and trailer weights next to the labels.
- Estimated time, distance, costs and profit are grouped into two panels on the right.
- Hovering over an order number shows a card with the order's customer, collection and delivery points, booked and actual times, products and notes.
Reordering stops, the right-click menu, confirming lines and the map are unchanged. To try it, open any load and click Try New View, or turn on "Redesigned load view" under Preview Features in your account settings. You can switch back at any time from the menu in the top corner of the new view.
Minor Changes
- One order view for everyone - the combined order view, previously a preview, is now the standard order screen, and every tab along with the charge form has been restyled to match the rest of the system.
- Preview invoices before you confirm - batch invoicing has been redesigned, and you can now preview any invoice as a PDF, watermarked DRAFT, before confirming it - one at a time or merged into a single document.
- See what an order earned - the Financials card on an invoiced order now shows their invoiced values, with the detail on hover, and the credit screens have been tidied up and now stop the same line being credited twice.
- Purchase order approvals - purchase orders now have an approval section on the order screen. An order can't be raised at zero value, and an approved order whose total later increases goes back to pending as a re-approval.
- Incident reports as PDFs - incidents now produce a PDF report, downloadable from the incident view and attached to the notification email. Incident emails have their own user preference and depot recipient list, falling back to your fault settings so existing recipients are unaffected.
- Plan grouped orders bit by bit - drag a single member of a group onto a load (or just its collection or delivery leg) while the rest stay grouped, and drag it back to Unallocated to take it out of the group. Handles on the group header still plan every member's collection or delivery in one go.
- Smarter trailer swaps - picking up a trailer while already carrying one is now planned as a Swap Trailer, with warnings if the plan doesn't add up, and the driver app spells out which trailer to leave and which to take. Mid-shift vehicle or trailer changes reported from the cab are kept rather than being quietly undone, and now raise an office alert so you can accept the change or revert to what was planned.
- Empty running, rebuilt - loaded and empty miles are now worked out from recent activity rather than a stored guess, with a hover card (on the mileage on each load line) showing what's on board between stops and a manual "empty from here" marker for the cases only you know about.
- Rates and invoicing extras - rate lookups now work for ex-works (collect-only) jobs, negative surcharges are allowed (with invoicing blocked if a job's total goes negative), invoice notes appear on pro-forma invoices, and quote emails show the calculated CPT rate.
- Warning before unplanning a leg - changing the requested date on a leg that's already planned now warns you and offers to remove its plan, instead of letting the date and the schedule quietly disagree.
- Duplicate location check - creating a location now warns you if a matching one already exists, including archived sites, so an old location can be restored rather than entered twice.
- Absence cancellations by email - when a driver cancels an absence from the app, the office now gets an email so nobody plans around leave that's no longer happening.
- TAI assistant - your chat now survives page reloads, you can filter drivers by group, and customer and location matching copes better with near-miss names. It can also search jobs by distance ("within 30 miles of Dover"), by county or nearest first, and answers fleet-wide driver and vehicle questions with proper totals and counts rather than long lists.
- Bits and pieces - stored consignment numbers show in the order sidebar, the Driver Shifts report gains a booked start time column, the Order List report highlights invoiced rows and gains a Status column, the invoice extract report shows the due date, the Open Orders screen gets a sticky toolbar with the table scrolling inside the page, stores restrictions can now be set against planned stock, a new dashboard widget shows which app versions your drivers are on, the audit log records which folder a POD was attached from, and the jobs board behaves better on smaller screens.
Design Refreshes
We've been bringing more screens in line with our newer design language:
- Office alerts - the alerts panel has a new layout, and the screens for resolving late arrivals and driver-reported asset changes have been redesigned.
- Location list - reworked with multi-select for merging and bulk archiving, a new Town column and a clearer search.
- Confirmation search - restyled with clearer controls for customers, date types, POD and rated status.
- Classic scheduler - a compact sticky filter toolbar, one tidy hover card per load instead of a cluster of tooltips, richer absence hovers showing who's off and why, and refreshed resource chips.
Bug Fixes
- Scheduling - dragging a job onto a load no longer fails when the job has no calculated travel time, return jobs auto-allocate correctly again, the same consignment can no longer be planned onto two loads at once, a delivery collected on a previous load no longer jumps the queue and misses its trailer instruction, financial figures are hidden unless you have permission to see them, the scheduler link no longer shows in the header for users without permission, and resolving an office alert could pick the wrong part of a consignment.
- Drivers and shifts - ending a shift after midnight now closes the previous day's load, a double tap on End Shift is ignored, a load re-sorts itself when a driver completes jobs out of sequence, trailer scans and cleanouts now slot into the day's running order instead of tagging on at the end, an instruction can no longer be completed twice, no duplicate swap line is added when an earlier pickup already carries the trailer, and prestart checks created through the Gearbox integration now count towards dashboard compliance and show the driver's name.
- Mileage and costing - changing a location on a consignment now re-routes it, ETA updates no longer overwrite recorded distances, and the fuel surcharge is reapplied if fuel rates change after a job has been completed.
- Invoicing - a 1p rounding error on some rates is fixed (pence are now rounded rather than cut off), the rate type can be changed back from CPTC to CPT, batch invoices no longer repeat a consignment's reference on every line, hiding zero-value lines now hides whole zero consignments rather than individual lines (so a zero-rated job whose other charges carry value still shows), and a gross total figure was double-counting the net.
- Accounts packages - the Sage bills extract sent the wrong account code, the Sage 50 extract failed when a purchase invoice number was missing, QuickBooks errors now show the actual reason rather than a generic message, a clashing QuickBooks invoice number automatically retries with the next free one, and sending an invoice to QuickBooks with custom transaction numbers switched on no longer fails after creating the invoice.
- Around the system - the stock name showed "[object Object]" after quick-receiving a goods-in item, uploading a document while resolving a fault failed, sharing saved order searches works again, saving a customer profile no longer mangled characters like &, fuel rates on the customer list respect permissions, the pre-start compliance tooltips on the dashboard are back, the consignment add screen no longer blocked start date changes, renaming a pending documents folder no longer corrupts file paths, the delivery reference box on the order search screen actually filters now, select all on the location list selects the visible page rather than every matching record, and notes typed on a purchase order now appear on the PDF without clipping.
