5. Document Management & Customer Notifications

TransMaS acts as your central digital archive, eliminating lost paperwork while keeping your customers informed without manual effort. By automating the flow of signatures and status updates, you can provide real-time service updates the moment a job progresses.

5.1 How to add documents to the system

There are four primary ways to get paperwork into TransMaS:

  • Directly to an Order: Open the Documents Tab of any order to upload or drag & drop files.
  • The Driver App: Drivers can scan physical documents or take photos; these go to the Documents wizard for review.
  • Email-to-System: Email PDF or Word attachments directly to your depot email address. The system can even route them directly to specific orders or folders.
  • The Document Wizard: Accessed via Documents in the sidebar. You can manually upload files directly here, and any document that isn't automatically linked also appears in this view. The Wizard presents pages one by one for the operator to assign to the correct Order Number.

5.2 Automatic ePODs and Notifications

Instead of manual admin, you can configure TransMaS to communicate with your customers automatically throughout the lifecycle of an order.

  • Auto-Generated ePODs: TransMaS can generate professional PODs with your branding and driver signatures.
  • Smart Notifications: You can set the system to trigger emails for specific events, such as when an order is created, if a driver is delayed on-site, or the moment an order is completed.
  • Setup: Notifications are managed at the customer level. By adding a contact to a Customer Profile (Settings > Customers), you can choose exactly which alerts that person receives (e.g., only ePODs or only Invoices).
