Managing Vehicles
Vehicles are a core resource in TransMaS and can be allocated to a driver directly or to a scheduled load, but first you need to be able to add and manage your fleet of vehicles.
Adding a Vehicle
To create a new vehicle on TransMaS, do the following:
- Select Settings from the menu
- Click Vehicles under Scheduling Settings
- Click Create Vehicle at the top right
- Complete any required fields in the new screen
- Code: This should be a shorthand version that you refer to the vehicle to internally (fleet number)
- Registration: The official vehicle registration
- VIN: The official vehicle identification, this is used for integrations to workshop systems
- Dimensions Fields: These used to provide more accurate mileage planning
- Click Create
Updating Vehicles
The data linked to a vehicle is plentiful and there are many reasons you may want to update the vehicle profile. To do so:
- Select Settings from the menu
- Click Vehicles under Scheduling Settings
- Find the vehicle in the list
- Click the View button
- Update the information required and click Update
- The new data is now live
You can also update the vehicle profile from the scheduler screen. Simply right click a vehicle in available loads and view vehicle profile
Setting Vehicle Expiry Dates
TransMaS has the functionality to set Expiry Dates as required, these dates will appear on the scheduler and the Vehicle Expiry Summary screen.
Navigate to the vehicle profile, and click Dates on the side menu.
Dates provided here can be set and modified by your account manager, please contact us to change these as you require. By default you will be provided with MOT, Road Tax, Service and Insurance dates.
Clicking the Req? box will enable the system to track this date for you to ensure any expiries are shown to planners.
All dates entered should be expiry dates, not completion dates
Archiving a Vehicle
Once a vehicle is no longer part of your fleet, you should archive it from the system to prevent it appearing in any dropdown menus (archived vehicles will still appear in reports filters and the order search screen). To do so you can follow the steps below:
- Select Settings from the menu
- Click Vehicles under Scheduling Settings
- Find the vehicle in the list
- Click the cross on the right hand side
- Confirm you would like to remove the vehicle
Archived vehicles can be viewed from the vehicle listing, by clicking the Show Archive button at the top right
