Receiving Goods

Once a delivery arrives at your warehouse, you need to receive the goods against the Goods In order. This records what's actually been delivered and where it's been stored.

Receiving can be done from the web platform or via the warehouse mobile app — the process is the same either way.

Finding the Order

  1. Go to Movements → Goods In.
  2. Find the order in the list — you can search by order number, reference, or customer.
  3. Click on the order to open it.

The Order View

The order view shows the order details alongside each product line. For each line you'll see:

  • The expected quantity
  • How many have been received so far
  • A progress bar showing receipt progress

Receiving Individual Items

To receive items one line at a time:

  1. Click the Receive button on the product line.
  2. A form will appear with:
    • Quantity — How many units you're receiving. Defaults to the remaining quantity.
    • Put Away to Location — Tick this to assign the items to a zone straight away. Select the zone from the dropdown.
    • Print Label — If automated printing is set up, tick this to print an item label to your site's default printer.
  3. Click Save.

The item is now recorded as received. The progress bar on the line will update, and the item will appear in the line's item list with its own unique item number and QR code.

You can receive items in multiple batches — for example, if 100 units arrive but you can only put 50 away now, receive 50 first and come back for the rest later.

Understanding Items and Inner Quantities

Each stock item you receive represents a container — such as a pallet, box, or crate — along with a count of how many individual units are inside it. For example, if you receive a box containing 500 units, the box is the stock item and 500 is its inner quantity.

Over time, units can be taken out of the item individually or in batches (for example, during a goods out or repack operation), and the item's remaining inner quantity will decrease accordingly. This means you always have visibility of how much stock is left in each container.

Receiving All Items at Once

If the full delivery has arrived and you want to receive everything in one go:

  1. Click the Receive All button at the top of the order.
  2. A table will appear showing every incomplete product line with:
    • The product code and name
    • Expected quantity and how many have already been received
    • Qty to Receive — Pre-filled with the remaining amount. Adjust if needed.
    • Location — Select a zone for each line.
    • Batch Reference — Pre-filled from the order, editable per line.
  3. Click Save to receive all lines at once.

Put Away

When receiving, you have the option to assign items to a zone immediately. This is called "putting away" — it records where in the warehouse the stock has been physically placed.

If you don't put items away during receiving (by leaving the location blank), they'll show as "not put away" and you can assign a location later from the item view.

What Happens When You Receive

Each time you receive items:

  • A stock item is created with a unique item number and QR code.
  • The line's received quantity is updated.
  • A stock ledger entry is recorded for audit and inventory tracking.
  • If this is the first item received on the order, the order status automatically changes from Pending to In Progress.
  • If automated printing is enabled, an item label is sent to the printer.

Tips

  • You don't have to receive everything at once — partial receiving is fully supported.
  • Use the zone dropdowns to put stock away as you receive it. This saves a separate step later.
  • If a delivery includes more or fewer items than expected, just adjust the quantity when receiving. You can still complete the order with mismatched quantities.
