Creating a Goods Out Order

Introduction

A Goods Out order is used to ship stock from your warehouse to a customer. This guide walks you through creating a new outbound order, adding the products to be shipped, and setting up delivery details.

Finding Goods Out Orders

To access Goods Out orders, go to Menu → Movements → Goods Out. This opens the Goods Out order list where you can search, filter, and create new orders.

Creating a New Order

  1. From the Goods Out list, click the Create New button.
  2. A form will open with the following sections:

Order Details (left side)

  • Site — If your company has multiple warehouse sites, select the site this order will ship from. If you only have one site, this is selected automatically.
  • Customer — Start typing to search for the customer this shipment is for. This is required.
  • Reference — Enter the customer's purchase order number or any reference for this shipment.
  • Destination/Address — Enter the delivery address. This may differ from the customer's default address.
  • Expected Date — The date you expect to dispatch this order. Defaults to the next working day.
  • Notes — Any additional information about this order. These are visible to warehouse operators on the mobile app.

Products (right side)

  • Click Add Outbound Product to add items to the order.
  • In the product picker, select the stock product and enter the quantity required (in inner units).
  • You can also enter a batch reference if the customer requires stock from a specific batch.
  • Repeat for each product line needed.
  • At least one product must be added before the order can be saved.

Remember: quantities are entered in inner units. If you are shipping 5 boxes that each contain 10 items, and the inner quantity is 10, you would enter 50.

Booking Details (optional, collapsible section)

If you already know the collection/delivery details, you can fill these in now or add them later:

  • Haulier — The transport company collecting the goods.
  • Registration — The vehicle registration number.
  • Driver — The driver's name.
  • ETA — Expected time of arrival for collection.

Once all details are entered, click Save to create the order.

What Happens Next

Your new order is created with a status of Pending. The order number will be in the format GO-XXXXX (e.g., GO-12345).

From here, the next step is to allocate stock to the order — picking the specific items from your warehouse that will fulfil this shipment. See Allocating Stock to a Goods Out Order for details.

Quick Tips

  • You can also create a Goods Out order using the Quick Create shortcut from any screen.
  • The order reference field is searchable from the Goods Out list, so using consistent references makes orders easy to find.
  • Booking details can be updated at any time before the order is completed.
