The Live Stock Screen
The Live Stock screen gives you a real-time overview of all stock held in your warehouse. It shows current quantities, incoming deliveries, allocated items, and outstanding requirements — all in one view. This article explains what each column means and how to drill down into the details.
Accessing the Live Stock Screen
Go to Inventory → Live Stock. Stock is grouped by customer, with each product shown on its own row.
Understanding the Columns
Each row on the Live Stock screen represents a single product for a customer. The columns show:

| Code | The product code. Click this to open the product's stock settings. |
| Description | The product name. |
| Incoming | The total quantity expected from Goods In orders that haven't been fully received yet. This includes items on pending and in-progress inbound orders. |
| Available | The total quantity currently held in the warehouse and available for allocation. This is the sum of all stock item quantities minus any allocated amounts. Highlighted for quick identification. |
| Allocated | The total quantity that has been picked or reserved for Goods Out orders but not yet dispatched. These items are still physically in the warehouse but committed to outbound orders. |
| Required | The total outstanding quantity needed to fulfil pending Goods Out orders. This is the remaining quantity on incomplete outbound order lines. |
| Remainder | A calculated field: Available + Incoming − Required. Shows whether you'll have enough stock to cover all outstanding orders. A red negative value means you're short. |
Filtering the View
Use the Hide Empty Stock Products checkbox to filter out products with no activity — this removes rows where all quantity columns are zero, helping you focus on active stock.

You can also use the search box to filter by product code, description, or customer name.

Drilldown Views
Clicking on any quantity value in the Incoming, Available, Allocated, or Required columns opens a drilldown showing the detail behind that number.
Available Drilldown
There are two tabs available - By Order and By Location.
The By Order tab shows every individual stock item currently held for this product. You'll see:
- Order Number — The Goods In or Repack order the item was received on.
- Item Number — The unique identifier for the stock item (e.g. GI-12345-001).
- Location — The zone where the item is currently stored (or blank if not yet put away).
- Available Qty — The current quantity remaining in this item.

In the By Location tab, you'll see a summary of availability by location, showing how stock is distributed across your warehouse zones.
- Site - The name of the site where this stock held, or Unassigned for items that have not yet been put away.
- Zone - The name of the zone where this stock is held, or Unassigned for items that have not yet been put away.
- Quantity - The number of units of this stock product in that location.
Incoming Drilldown
Shows the Goods In order lines contributing to the incoming total. For each line:
- Order Number — Link to the Goods In order.
- Reference — The order reference.
- Date — The order date.
- Expected Qty — How many units were expected on this line.
- Received Qty — How many have been received so far.
- Remaining — The outstanding quantity still to arrive.
This also includes incoming lines from repack orders (where the product is an output of a repack).
You can click on the line to view the associated Goods In or Repack Order.
Allocated Drilldown
Shows items that have been allocated to Goods Out orders but not yet dispatched. For each allocation:
- Order Number — Link to the Goods Out order.
- Item Number — The specific stock item allocated.
- Batch Reference — The batch the allocated item belongs to.
- Allocated Qty — How many units are allocated from this item.
Required Drilldown
Shows the Goods Out order lines that still need stock. For each line:
- Order Number — Link to the Goods Out or Repack order.
- Reference — The order reference.
- Date — The order date.
- Expected Qty — How many units are needed in total.
- Dispatched Qty — How many have been allocated or dispatched so far.
- Remaining — The outstanding quantity still required.
You can click on the line to view the associated order.
Portal View
Customers with View Stores permission on the customer portal see the same info in the Stock Status screen, filtered to show only their own products. The same columns and drilldowns are available, although the detailed stock ledger view is not available on the portal - lines link to the relevant order instead.
Tips
- A negative Remainder is an early warning — it means you won't have enough stock even after all expected deliveries arrive. Use this to plan ahead and raise additional Goods In orders.
- Click any quantity to drill down — this is the fastest way to trace a number back to specific orders and items.
- The Available column is the most commonly referenced — it shows what you can actually allocate right now.
- Use the search box to quickly find a specific product or customer across all rows.
