Where Absences Appear in TransMaS
Once an absence is approved, it shows up in several places around TransMaS so the whole team plans around it automatically. This is a quick reference to where absences appear and what each view is best for.
The absence screens
- Absence Calendar (Absence > Absence Calendar) - the month at a glance for all staff, with weekends, bank holidays and half days marked. Best for spotting clashes and busy weeks.
- Driver Summary and, on TransMaS Plus, Office Summary - yearly totals per person: allocation, booked, taken and available.
- A person's own screen - click their name on the calendar or summary for their full history, grouped into pending, approved and cancelled or rejected.
Scheduling screens
- Driver Roster (Scheduling > Driver Roster) - absences appear as grey bars with the reason code on the two-week shift view, and absent drivers do not have schedules generated automatically.
-
The scheduler - the absence strip along the top shows how many drivers are off each day of the week. Hover a day for names and reasons, or click it for a week view of who is off.

- Traffic sheets and planning views - absent drivers' days are blocked out with the absence reason, so work is not planned onto them.
Elsewhere
- Dashboard - the drivers off today tile counts today's absences; hover for names, click for details.
- Driver allocations (Drivers > Allocations) - each driver's line shows their next upcoming absence.
- The driver app (TransMaS Plus) - each driver sees their own upcoming leave, pending requests and remaining allowance under the Rota tab.
Common questions
An absence is not showing in any of these places. On TransMaS Plus, check it has been approved - pending requests only appear on the Pending Approvals screen and on the person's own absence screen until a decision is made.
Who can see absences? Anyone with access to the Absence area sees the absence screens; the scheduling views follow your normal scheduling permissions. Drivers only ever see their own leave in the app.
Why is an absent driver still showing work on the scheduler? The schedules were probably created before the absence was approved and could not be cancelled automatically - check the driver's schedules for that day on the scheduler.
