Preparing your account for invoicing

Invoicing in TransMaS allows you to invoice your customers directly from our platform, while linking into your account system directly to create a record of the invoice.

Currently supported systems are:

  • Sage 50
  • Sage Online
  • Quickbooks Online
  • Xero

If you use a different provider, let us know and we may be able to integrate for you.

Before beginning your first invoicing run, you will need to complete a few steps. Initial set-up varies depending on your provider so you will need to let us know which one you are using.

Integrate with Xero or Quickbooks

Xero and Quickbooks are cloud providers and therefore we can do most of the setup for you.

Please make sure the user completing this step has the appropriate permissions in your accounting system, otherwise we will not be able to download the info we need.

  1. Under the Create menu at the top of each page in TransMaS, there is an option to Link to Xero or Quickbooks. This only needs to be done once per company.
  2. Once this is done, we can download and synchronize the nominal codes, vat codes, and customer account codes.

Integrate with Sage

If you are using Sage, you will need to gather the following information from it and enter it in TransMaS:

  • Nominal code - entered under Settings > Nominal Codes under Accounts Settings > click Create Code in upper right
  • VAT code - entered under Settings > VAT Codes under Accounts Settings > click Create Code in upper right
  • Customer codes - entered under Settings > Customers under Order Settings > open or create a Customer > Invoicing Tab > fill in Accounts Code field

Under Menu > Settings > Depots > View you will need to complete the details on the invoicing tab, this will set up your invoice template with the correct details.

Under Settings > Customers > View you can set restrictions on invoices, automatic filtering and separations of invoices.
