Customer-specific invoice settings

Some invoice settings are set up company-wide, others by customer.

To access these settings, open a customer's profile by going to Settings > Customers and then click on the customer code or the view icon (🔍) at the end of each line. Then open the Invoicing tab.

To make sure we can invoice your customer, at a minimum you must record the accounts code in the invoicing tab of their profile. This will allow us to generate the invoice in your accounts system. The accounts code is the code for your customer from your invoicing system. For Xero, you can click "Find from Xero" to fill it in. If you are using another system and unsure where to get this, please contact support.

Other options available in this tab allow you to set restrictions on invoices, automatic filtering and separations of invoices.

  • Invoice Notes: This will display at the bottom of every invoice to this customer. Invoice notes can also be set depot-wide: Set contact info and notes on invoices (customer notes are supplemental to the depot-wide notes)
  • Payment Terms: Your account will have a default set for all accounts, but this can be overridden on a per customer basis as you require. Learn more: Managing Invoice Due Dates
  • Default Nominal: This is a list of codes to help you categorize sales and will integrate with your accounting system. They are set up under Settings > Nominal Codes under Account Settings.
  • Default VAT Code: This lets you select what VAT rate will apply to this customer. You can edit your list of VAT codes under Settings > VAT Codes under Account Settings.

Options

  • Send PODs, Send ePODs, Send Documents: This will attach these to invoice emails.
  • Selfbill Customer: This enables self-bill for this customer. See more about how self-bills work (a self bill customer will not show in the pending invoice totals).
  • Require Reference on Invoice - This will require you to fill out the invoice reference field when generating invoices.

Separate or group orders on invoices

  • Split Invoice by PO - This will put orders with different PO numbers on different invoices when they are generated.
  • Max Lines/Invoice - This will not group orders into the same invoice if the total number of lines in this box would be exceeded. An order with all products is one line; each surcharge is a separate line. If a single order has more than the allowed number of lines, it will still go on one invoice.
  • Max Value/Invoice - When generating invoices, this will split orders into different invoices based on the value of the invoice.

It is not currently possible to split an order on invoices. So orders will always be put together regardless of limits imposed.
