Managing customer profiles

A customer in the TransMaS system, is the person you are being paid by to complete a job. They can be used across various systems within the TMS.

To open a customer profile, go to Settings then Customers under order settings. From the customer list, click on the code or the view icon at the end of each line.

Details

The main contact email for your customer is set in the Details tab of the profile in the Contact Email tab. This email does not get notifications unless it is set up in the Contacts tab - see Customer Email Notifications.

The On Stop checkbox is useful for customers who haven't paid their bills. When selected, this will block your customer from placing new orders in the portal, and when you try to pick them on the order entry the system will give you a warning.

Configuration

  • Rate tables allow you to automate your order pricing so you don't have to manually enter the rate on each job: Working with Rate Tables
  • Default Type: These are populated from your order type list created in Settings > Order Types.
  • Default Rate Type: Within TransMaS you have different rates you can use on any order: Using Order Rate Types
  • Order Delay Notification: You can set up email notifications to go directly to your customers, when a driver is on site for x minutes it will automatically send, and then every "y" minutes it will send again.
  • POD Scanning Text: When you are in a document preview, this text will display next to the customer name after you have put an order number in - see the yellow text below for an example.

Portal Users

Using the TransMaS customer portal allows operators to provide their customers with real-time status updates on orders, POD and invoice visibility, and the ability to request haulage. Portal users are included in your account and does not incur any additional charges.

Invoicing

Invoicing in TransMaS allows you to invoice your customers directly from our platform, while linking into your account system directly to create a record of the invoice.

Fuel

The settings in this tab will add a fuel surcharge to each order for this customer, which you can find on the Headers tab of any un-invoiced order, or under Charges on any invoiced order. It will then be applied as a line item on the invoice.

  1. Pick which date you want the surcharge to apply from.
  2. Pick what date field it calculates the date from - options are collection date, delivery date, or Ordered date.
  3. Enter the rate value of the surcharge.
  4. Click Add Surcharge.

From there, your fuel charge is applied to all orders from the set date forward, up until a new date is set. Previous charges are displayed in a chart so you can see a history. To clear all charges, add a new charge with a 0% rate and orders from that date forward will not have a fuel surcharge applied.

Fuel Surcharge is not calculated in real-time, if you update it retrospectively it will be applied to orders in the order completion stage.

Fuel surcharge is always charged with the consignment and cannot be separated either during the self bill process or batch invoicing

Surcharges

The surcharges in this tab are based on your Cost Codes. You can set up cost codes under Settings > Cost Codes, under Accounts settings.

For each cost type, you can set a description and an amount.

These surcharges will then become available on each order for the customer under the Surcharges tab.

Restrictions

These allow you to restrict a customer to own drivers (not subcontractors) or specific products and order types.

If the Restricted To list is empty, any product can be applied to orders for this customer.

If the restricted list is not empty, the All list is products/order types that cannot be applied to this customer, and the Restrict list is products/order types that can be applied to this customer's orders.


  1. Filter a list to show only specific items.
  2. Click Move all to move all items from one list to the other.
  3. Click an individual item to move it to the other side.

Click Update at the bottom when you are done to save your work.
